Please read the following information carefully before making your entry

Oxford City Bumping Races – Entry Instructions

All entries enquires should be directed to the Regatta Secretary at bumpingraces@oxfordrowingclub.org.uk. While this is not a British Rowing qualifying event, for entries and the draw we closely follow the British Rowing Rules of Racing.

Events, Gender and Juniors

The day is split into four divisions, two for each gender. Women may be entered as part of a men’s crew, but we recommend minimising this and ask that it be flagged in the information submitted about each crew. Juniors J15 or older may enter either as their own crew or as part of a senior crew in either gender.

Entries and Payment

Entries and payment must only be made on BROE2, any other method will not be accepted.

Places are strictly limited and will be allocated based on entry date, with conflicts resolved by payment received date. It is therefore in your interest to enter and pay as soon as possible to secure your entry. Payments must be received before entries close.

Once the event is full, we will open a waiting list in BROE2 where additional entries can be made. Crews on the waiting list should complete their entry and pay as if they were a main list entry and should be prepared to move up to the main list if a space becomes available. This can be any time up to the event itself. Crews will be pulled from the waiting list using the same criteria as acceptance into the main list. Any crews not accepted from the waiting list will receive a full refund via BROE2 after the event.

Please ensure you use an email address that is monitored regularly when making your entry.

Required Information and the Draw

Due to the nature of bumps racing and the large range of abilities we receive in our entries, it is crucial that we can generate a draw that is safe, fair, and promotes good racing across the day. To do this we ask for some additional information about the crew. While we try to maintain the draw as much as possible year-to-year for repeat entrants, this may not always be possible.

We ask for a brief description of your crew, for example “50% W1/W2 from Torpids”, “raced HORR as a crew, positioned X” or “full beginner crew”. This helps us assess the standard of the boat. For the individual athletes any additional information helps. Information that is useful includes:

·       Previous bumps experience (university or town) including crew and race year.

·       Non-bumps racing experience including year, event and ideally result.

·       Details if the individual is a beginner/first race/masters rower or similar.

Please try to include detail where possible. If we feel there is not sufficient information to place your crew, we will contact you. If we can’t get sufficient information to safely place your crew in the draw, we reserve the right to reject your crew

Judges and Pole People

All crews need to supply a judge and a pole person in addition to their rowers. The change to 8s brings several challenges to the event, so we strongly recommend experienced judges and pole people to ensure smooth running. This can be someone who is also racing in another division, though the turn around can be tight so we don’t recommend it. Both judges and pole people can change across the day if necessary, however again we strongly recommend against this and everyone judging must come to the safety briefing in the morning even if they aren’t judging until later in the day.

Substitutions

Substitutions will follow general British Rowing rules, meaning up to 100% of the crew may be substituted up until the close of entries. Between close of entries and the start of racing, 50% of the crew (excluding coxes) may be substituted. Any substitutions beyond 50% are at the Secretaries discretion and will likely only be allowed in the case of illness, injury or other exceptional circumstances. Substitutions made during the day of racing are possible in exceptional circumstances at the discretion of the event organisers. Substitutions are self-made via BROE2. If any substitution meaningfully changes the standard of your crew, please contact the entries secretary via email.

Multiple Entries

To ensure representation from a plurality of clubs, entries will be initially limited to two entries in each main draw (two Open and two Women’s) per club. Additional entries can be made into the waiting list to be moved up if there is space in the draw, however these crews will be placed at the bottom of the waiting list. If clubs enter more than 2 crews into the main list and do not indicate any kind of priority, then the event organisers reserve the right to move any entry to the waiting list at their discretion.

Crews entering Junior and Senior crews who wish for these to be assessed for the draw as separate groups should indicate this in the notes section of the entry in BROE2.

Rejection, Withdrawal and Disqualification

As with British Rowing run events, we reserve the right to reject or disqualify any crew at any time, including after the start of racing. Crews withdrawing before the close of entries or which are rejected through fault of the event (e.g. oversubscription) and before the start of racing will be offered a full refund. Crews which withdraw after the close of entries, including for reasons of illness/injury, will not be refunded. Any crew disqualified after the close of entries (for e.g. clearly misrepresenting their ability so as to affect the draw, a disqualifiable action during racing, etc.) for any reason will not be refunded.  In the event of a full or partial cancellation we will endeavour to refund the maximum we are able once costs have been considered.
